Fundraising Event Tips
Whether you're planning a casual gathering or a large-scale event, these tips will help you create a meaningful and successful fundraiser in support of your practice and Hope Through Horses (HTH).
Note: Some tips may apply only to larger events—feel free to scale as needed!
Plan with Purpose. Lead with Heart.
🗓️ Planning Basics

Choose a date and time for your event.

Set a fundraising goal — A minimum donation of $1,500 to HTH is required for 75% of the funds to be allocated to grants for your practice. The remaining 25% supports HTH's general grant fund.

Estimate your expected attendance.

Calculate the suggested donation per person to meet your goal.

Decide if you will charge a fee to attend (separate from the donation).
💰 Budget & Logistics

If charging a fee, make a budget for event costs (e.g., food, music, staffing, insurance, permits, porta potties).

For large events, consider:

Permits from your county

Special event insurance

Choose a venue and have a backup plan for bad weather.

Determine if you’ll need:

Porta potties
-
Seating, tables, tents
-
Food services (Will you hire a caterer or provide food yourself?)

🎁 Extras for Engagement

Raffles can boost revenue and promote your services. Secure donated items or use branded materials (e.g., gift certificates).

Decide how guests will pay in advance (e.g., PayPal, Venmo, Eventbrite, etc.).
📢 Marketing & Promotion

Create a marketing plan:

Social media, email, posters, local press, videos

Start promoting early—especially for larger events.

Personally invite guests via:
-
Text, phone call, email, or snail mail

Let them know your event supports the nonprofit Hope Through Horses

✅ Prep & Day-Of Planning
-
Make a week-of checklist for tasks.

Draft a day-of agenda.
-
Recruit volunteers for roles like:

Parking, check-in, raffle ticket sales, guest support

Hold a Zoom meeting a few days before to review responsibilities and logistics.

Schedule a setup time the day before and invite helpers.
🎉 At the Event

Set up:
-
HTH materials (donation jars, banners, brochures, QR code flyers)

Your own business info (cards, brochures, slideshow, etc.)

Host your event with joy and presence.
-
Take photos and share them on social media and in the Touched by a Horse community
-
💌 After the Event
-
Send thank-you notes via text, email, phone, or mail.

Include your HTH QR code.
-

Share the event’s success and consider telling guests how much was raised.

Notify HTH of your fundraiser and submit all donations.
-
75% of donations will be allocated for grants to your business; 25% supports HTH's general grant fund.

📋 Grant Follow-Up

When ready to use your funds:

Submit the HTH Grant Application on our website.

Allow 1–4 weeks for Board of Directors review and approval.

If a donor prefers to write a check directly to Hope Through Horses for a tax deduction:

Notify us, and we’ll credit that donation to your fundraiser.
